Equipping NHS Business Service Authority to transform the efficiency of their Prescription Processing

Challenge

The NHS Business Services Authority handle all prescriptions issued in England, processing the payments back to pharmacies (and other dispensing organisations). The team handle over 450,000,000 prescriptions each year.
ICE practitioners worked with a team of staff from the different teams involved in the end to end process to achieve the following outcomes:
• Identification of quick wins that can be realised with minimal input but achieve maximum benefit
• Sustainable service improvements
• Ongoing cashable benefits

Solution

The purpose of this work was not to redesign the IT systems used, rather to understand and redesign the processes that surrounded these systems.

The project started by understanding the current work design and identifying areas for improvement.
The ideas were then tested in small scale experiments before they were rolled out to become business as usual. Where larger scale improvements were identified, business cases were created and agreed.

 

The Results

 

This work delivered the following benefits back to the NHS BSA and its customers:

  • Amending the drug look up tables for flavoured products saved 2 seconds per instances, due to the volume of these drugs prescribed this saved £45,000 in staff time per annum
  • Removing handovers in the process to request a batch is re-priced saved over £53,000 per annum
  • Combining to postage and changes to paper type  saved £114,000 per annum
